Who we are

UUG.AI BV, Bijlokehof 11, 9000 Ghent, Belgium (VAT BE1013644852) is the controller for the personal data described in this policy. It covers our website uug.ai and our documentation at learn.uug.ai.

For any privacy question or request, email support@uug.ai.

This policy does not cover camera footage processed with our products. See GDPR and our products for that.

Cookies and local storage

When you first visit, a banner asks whether you accept analytics cookies. Google Analytics loads in both cases, but it only sets cookies after you accept. If you reject them, it sends cookieless measurements only. We never use cookies for advertising, and advertising features stay switched off.

You can change your choice on uug.ai with Cookie settings in the footer. On learn.uug.ai, clear the site data in your browser and the banner asks again. You can also email us to withdraw consent. Withdrawing consent does not affect processing that happened before.

Who receives your data

We do not sell your data. We share it only with service providers that work for us:

  • Microsoft Azure hosts our sites in the European Union (Sweden).
  • Google (Google Ireland Limited) provides Google Analytics. Our fonts are hosted on our own servers, so loading them shares nothing with Google.
  • Mailtrap delivers contact form messages to our team's mailboxes.
  • OpenStreetMap provides the map tiles on our contact page, which sends your IP address to the OpenStreetMap Foundation when the map loads.

Transfers outside the EU

Google and Mailtrap may process data outside the European Economic Area, including in the United States. Where that happens, transfers rely on the EU-U.S. Data Privacy Framework or on the European Commission's standard contractual clauses. The OpenStreetMap Foundation is based in the United Kingdom, which the European Commission recognises as providing adequate protection.

How long we keep data

  • Server logs: 14 days.
  • Analytics data: 14 months in Google Analytics, then deleted automatically.
  • Enquiries: as long as needed to handle your question and any follow-up, and no longer than two years after our last contact, unless it leads to a contract.
  • Job applications: up to six months after the recruitment ends. If you agree, we keep your details for up to two years for future roles.

Your rights

Under the GDPR you can ask us to:

  • give you a copy of your personal data;
  • correct data that is wrong;
  • delete your data;
  • restrict or object to how we use it, including processing based on legitimate interest;
  • send the data you gave us to you or another organisation in a common format;
  • withdraw your consent at any time.

Email support@uug.ai. We answer within one month. We may ask you to confirm your identity first.

If you are not satisfied with our answer, you can complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Drukpersstraat 35, 1000 Brussels, dataprotectionauthority.be, or to the authority where you live or work.

Security

Our sites are served over HTTPS only. Access to logs, mailboxes, and analytics is limited to the people who need it. The contact form uses your IP address only in memory to prevent spam and does not store it.

Changes to this policy

We update this policy when our sites or services change. The date at the top shows the latest version. If a change affects how we use data you already gave us, we will tell you before it applies.

Questions about your data?

Ask for a copy, a correction, or deletion. We answer within one month.
